Audits, maintenance, and reports

Scanner Bulk Audit

Select Scanner Bulk Audit above the Asset list for a repeated physical verification session.

The form supports:

  • Scanning by Asset Tag or Serial Number.
  • Recording the observed Location.
  • Optionally updating the Asset's Location.
  • Setting the next audit date.
  • Retaining Notes for the next scan.

After a successful scan, Ebla Assets Management updates the Asset audit dates, creates a completed Asset Audit Event, and writes an immutable Audit transaction.

Prefer the Asset Tag when a Serial Number is missing or duplicated.

Individual audits

Use the Asset detail Audit action when verifying one Asset outside a bulk session. The Audit Due and Audit Overdue Asset presets identify the records requiring attention.

Asset Audits are Event records. They can be used in EspoCRM Calendar and follow normal Event behavior for dates, assignments, Teams, reminders, and history.

Maintenance

Asset Maintenance is also an Event entity. Each record can include:

  • Asset and Maintenance Type.
  • Start and end time.
  • Status.
  • Supplier.
  • Cost and warranty-improvement information.
  • Assigned User, Teams, reminders, Notes, and Stream.

Asset Maintenance list

Use the Maintenance presets for Active, Completed, Cancelled, Due Today, and Overdue work. Scheduled records can also appear in the standard EspoCRM Calendar.

Immutable activity history

Custody and stock operations create Asset Transaction records. Transactions cover actions such as:

  • Check Out and Check In.
  • Transfer.
  • Audit.
  • Accessory or Component checkout and return.
  • Consumable issue.
  • License Seat checkout and check-in.

Transaction history supports operational review and feeds the dashboard's Recent Activity panel. Do not replace a custody action with a direct field edit when history and validation are required.

Asset Reports

Open Asset MS > Asset Reports for the reporting workspace.

The report selector includes:

  • Summary Dashboard.
  • Activity Report.
  • Asset Depreciation.
  • License Report.
  • Maintenance Report.
  • Unaccepted Items.
  • Low-stock Accessories.

Choose a report, select Run, then use Export CSV or Print when needed. Report data respects the current user's Ebla Assets Management access.

The summary includes Assets, available and assigned counts, Licenses, soon-expiring Licenses, overdue audits, pending requests, and open maintenance.

Asset Reports also includes typed search for values defined by an Asset Field Set. Select the Field Set and field key, choose an operator, and enter the value.

This makes model-dependent specifications searchable without flattening every possible specification into the main Asset table.

Ebla Assets Management reports are self-contained and do not require Advanced Pack.
