Inventory and licenses

Ebla Assets Management distinguishes individually tagged Assets from quantity-based stock and software entitlements. Each inventory type has its own assignment rules.

Accessories

Accessories are reusable quantity-based items such as docks, headsets, bags, and adapters. Their list shows total quantity, available quantity, minimum quantity, Category, and Location.

From the Accessory list or record actions you can:

  • Check out a quantity to a Contact or Asset.
  • Check in a previously assigned quantity.
  • Bulk checkout or bulk check in selected Accessories.
  • Use Low Stock and Requestable presets.

Components

Components are installed into Assets, for example memory, storage devices, or internal parts.

  • Checkout targets an Asset.
  • Check-in returns a quantity from an Asset.
  • The Low Stock preset compares available quantity with the configured minimum.

Consumables

Consumables are issued to Contacts and are not returned. Toner, batteries, labels, and other used-up supplies are typical examples.

  • Issue reduces the available quantity and records the recipient.
  • Bulk Issue applies a validated quantity to selected Consumables.
  • No check-in action is offered because issuance is final.

Software Licenses

License records store the commercial and operational information needed to manage software entitlements:

  • Software Name and Product Key.
  • Manufacturer and Company.
  • Licensed To and Licensed to Email.
  • Purchase and expiration dates.
  • Termination date.
  • Purchase order, cost, and depreciation information.
  • Minimum quantity, total seats, available seats, Remaining, and % Remaining.

Use the License presets to focus on:

  • Active Licenses.
  • Licenses Expiring within 30 Days.
  • Inactive Licenses.

License Seats

Every entitlement can be represented by an individual License Seat.

  • Check out a Seat to a Contact or an Asset.
  • Check it in to release the entitlement.
  • Use Available and Assigned Seat presets.
  • Select Seat rows for bulk checkout or bulk check-in.

The License's Available, Remaining, and % Remaining values are recalculated from active Seats. If Ebla Progress Bar is installed, the remaining fields use its visual progress display. Without it, the values remain available as normal EspoCRM fields.

Asset Kits

An Asset Kit is a reusable definition of items that belong together. Its Kit Items store the inventory record, item type, required quantity, and order.

Use Kits to standardize common bundles such as an onboarding set or field-work package. Each item is still issued or returned according to the rules of its own inventory type.

Stock control

For reliable low-stock reporting:

  1. Enter Total Quantity and Minimum Quantity for quantity-based items.
  2. Perform checkout, check-in, and issue actions instead of manually changing availability counters.
  3. Review the Low Stock presets regularly.
  4. Use the dashboard Category summary and report exports for broader analysis.
